Dear Mr. Gehemawat,

I was informed recently that you have called our office to complaint about our catering services for your wedding.  As stated by the staff who received your call, you were not satisfied with the cake that we delivered for your wedding reception.  I have discussed the matter with our chef who baked the cake and he has explained to me that he made the cake based on the details of your order.  The quality of the cake was the same as the one you tasted and the decoration was also specified by you when you placed your order.

Please accept our apologies if the cake did not meet your expectations.  However, we hope you would specify the details of your complaint through a formal letter so we can act on the reimbursement you are requesting if necessary.
